Outdoor Watch Party LED Screen Checklist
Planning a watch party with a big screen? Here's what to think through before you book, from space to signal.
Watch parties are one of the most common reasons people call us—a big game, a championship run, a community gathering around a broadcast everyone wants to see together. A mobile LED trailer is built for exactly this, but a little planning up front makes event day much smoother.
1. Confirm your space
Walk (or picture) the site with the trailer's footprint and your expected crowd size in mind. You'll want enough clear space for the screen, a reasonable viewing distance for your audience, and room for the trailer to actually get in and out.
2. Check the ground and access
A parking lot, field, or paved area works best—reasonably level, solid ground for setup, with a clear path in for the trailer. If the site has tight turns, gates, or soft ground, mention it when you request a quote.
3. Line up your video source
You provide the program signal—typically the broadcast feed you're watching—over HDMI or SDI at 1920 x 1080. Know your source in advance: a cable box, a streaming device, or a production feed all work, but confirm the connection type ahead of time.
4. Plan for power
Power needs vary by setup, so this is always confirmed directly with our team ahead of the event rather than assumed—flag it early so there are no surprises on-site.
5. Think about timing
Share your event start and end time, plus any setup or access windows, when you request a quote. Game days in particular can mean tight scheduling around other deliveries or activities at the site.
The short version
- —Confirm space, viewing distance, and trailer access
- —Check ground surface and any site restrictions
- —Know your video source and connection type (HDMI or SDI)
- —Flag power needs early
- —Share your event's start/end time and any access windows
Cover those five and you're most of the way to a smooth watch party. The rest is a conversation with our team during quoting.
